Privacy information · Draft

Privacy policy.

This is a draft for Easy Visa’s approval. It describes the proposed website and enquiry-form processing; provider details and operational settings must be confirmed before publication.

Discuss your circumstances

Who is responsible?

The controller is Easy Visa sp. z o.o., ul. Bolesława Prusa 1 lok. 3, 50-319 Wrocław, Poland. KRS: 0000661866. NIP: 8982228067. REGON: 366495742.

For questions about your details or to exercise your rights, email biuro@easy-visa.pl or write to the address above.

Easy Visa must confirm whether a data protection officer has been appointed and, if applicable, add their contact details.

What information is covered?

The contact form asks for your name, a phone number or email address, preferred office, service and message. It also records your consent to a reply.

Website requests may involve technical information such as your IP address and request time. The form design uses an IP-based submission limit to reduce abuse.

Keep the initial enquiry brief. Do not send identity documents, identification numbers or sensitive case details through this form.

Why we use information

  • General enquiries: to respond to the question you send through the form, based on consent under GDPR Article 6(1)(a).
  • Requested consultation or service: where processing is necessary to take steps at your request before a contract, or to perform that contract, GDPR Article 6(1)(b).
  • Website security: necessary technical records and submission controls, based on the legitimate interest in keeping the website available and preventing abuse, GDPR Article 6(1)(f).
  • A necessary record of an enquiry or dispute: establishing, exercising or defending claims, based on that legitimate interest under GDPR Article 6(1)(f).

The enquiry checkbox does not give marketing consent. Easy Visa must confirm these purposes and bases against the actual workflow.

Your choice and consent

Providing enquiry details is voluntary. Without a name, a message and at least one contact method, the form cannot process a request for a reply. You can contact Easy Visa directly instead.

You can withdraw enquiry consent at any time by emailing biuro@easy-visa.pl. Withdrawal does not affect processing already carried out on the basis of consent. Where another legal basis applies to specific records, withdrawal does not automatically require their deletion.

Who may receive information?

People authorised by Easy Visa handle enquiries. The hosting provider and email provider may process information needed to operate the website and deliver messages.

If the Bitrix24 connection is enabled, the form’s enquiry details are also sent to the configured CRM to manage the enquiry.

Before publication, confirm the hosting and email providers, the Bitrix24 contracting entity if connected, processor agreements, access permissions and any further recipients.

Processing outside the EEA

The locations used by the hosting, email and CRM providers have not yet been confirmed for this draft. Do not assume that selecting a provider means data stays in the European Economic Area.

If a provider involves a transfer outside the EEA, the final notice must identify it and explain the applicable transfer arrangement and how to obtain information about the safeguards.

Easy Visa must verify provider locations and any relevant adequacy decision or other safeguards before connecting production services.

How long information is kept

An enquiry is kept for the period needed to handle and close the conversation. Where consent is the only basis and you withdraw it, the information is deleted unless a separate legal basis requires or permits a necessary record.

Where you request a service, relevant details become part of the service record. Retention then depends on the purpose of that record and any applicable duties or claim periods.

Security records are kept only for the period needed to investigate abuse and operate the submission controls. Backup copies follow the confirmed backup deletion cycle.

Easy Visa must approve and implement retention criteria for enquiries, consent records, service records, security data, CRM entries and backups. The production periods and deletion schedule are not yet confirmed; this draft invents no fixed retention period.

Your data-protection rights

  • Ask for access to your personal data and a copy.
  • Ask to correct inaccurate or incomplete information.
  • Ask for deletion or restriction where the GDPR conditions are met.
  • Receive the data you supplied in a portable format where processing is automated and based on consent or a contract.
  • Object, for reasons connected with your situation, to processing based on legitimate interests.
  • Withdraw consent for processing based on consent.

Email biuro@easy-visa.pl or write to the controller. The available right depends on the purpose and legal basis. We may need information to confirm your identity.

Make a complaint

You can complain to the President of the Personal Data Protection Office in Poland, known as PUODO, if you believe the processing of your personal data breaches the GDPR. You do not need to contact Easy Visa first.

Cookies and external links

The proposed website has no analytics cookies, advertising cookies or third-party trackers at present. It uses self-hosted fonts.

Map and social links open external services. Their own privacy information applies when you choose to use them.

Confirm the final hosting behaviour, security cookies and browser storage before publication. Update this notice if analytics, embedded services or other tracking is later introduced.

Automated decisions

The proposed enquiry workflow does not make decisions with legal or similarly significant effects solely by automated processing, and does not profile visitors. Automatic spam and submission controls are used to protect the form.

Confirm this against the final CRM and hosting configuration.
